Manage and delete your Inbox data
How to choose what Inbox reads, pause it, delete what it found, remove Ordo's access, and delete your account. Inbox is available in Ordo on the web and in the iPhone versions of Ordo that include it.
What Inbox reads
Inbox is optional. When you connect a Gmail or Outlook account, Ordo reads your email to find what needs doing, such as requests, deadlines, meetings and promises, and suggests changes to your tasks and calendar. Nothing changes until you approve it. Ordo asks for read-only access, and it never sends, deletes, moves or marks your email. To read an email, Ordo's server sends it to Anthropic's Claude. Anthropic does not use it to train its models. Ordo does not keep the full text of your emails. The privacy policy lists what Ordo reads, sends and keeps, under Inbox · what Ordo reads in your email.
Where the controls are
Choosing what Ordo reads, Pause analysis, Clear findings and Stop and disconnect are in Inbox, under Sources, where each inbox you connected is listed under Connected accounts.
- On the web, open Inbox with the tray icon at the top of Ordo, or go to web.useordoapp.com/inbox, then choose Sources. Each account's controls are in its row.
- On iPhone, open Inbox with the tray icon, choose Sources, then tap the account to open its page.
Choose what Ordo reads
When you connect Gmail, Ordo starts at once. It reads the last 30 days of your mail, except Spam and Trash, then new mail as it arrives. When you connect Outlook, Ordo first lists your folders, all selected. Clear any folder you do not want Ordo to read, then choose Confirm and start on the web or Start checking on iPhone.
To change this later, choose Change which mail Ordo reads. On the web it is under Coverage and permissions in the account's row. On iPhone it is on the account's page.
- Gmail: choose All mail except Spam and Trash, or choose Only these labels and select up to 50 labels, such as Inbox, Starred or one of your own. Mail you sent is always read, because it holds the promises you made.
- Outlook: select the folders. Include Sent Items so Ordo can find promises you made. Junk Email, Deleted Items, Drafts and Outbox cannot be chosen. A folder you create later is read only after you select it.
Then choose Save. Mail outside your choice is no longer used in Inbox. Tasks and events you already added stay.
Pause analysis
Pause analysis stops Ordo reading that inbox. It also withdraws plans that are waiting for your approval, and stops the companion opening that inbox's email. The findings you already have stay in Inbox.
To start again, choose Resume analysis. Ordo then reads the mail that arrived while it was paused.
Clear findings
Clear findings deletes the findings, plans, quotations and email records from that inbox, and the facts Ordo learned only from it, unless you confirmed them. The inbox stays connected. After that, Ordo reads only new email.
Ordo asks you to confirm. Choose Clear findings again to go ahead, or Cancel. Tasks and events you already approved stay in Ordo, and so does each plan that changed your tasks, calendar, practices or reminders, as the record of that change.
Stop and disconnect
Stop and disconnect deletes the same things as Clear findings, and Ordo's access to that inbox, so Ordo stops reading it. For Gmail, Ordo also asks Google to withdraw its Gmail access. For Outlook, Ordo deletes its access but does not ask Microsoft to withdraw it, so also remove Ordo in your Microsoft account, as the next section describes.
Ordo asks you to confirm. Choose Stop and disconnect again to go ahead, or Cancel. Tasks and events you already approved stay in Ordo, and so does each plan that changed your tasks, calendar, practices or reminders, as the record of that change. Ordo keeps the address of the disconnected account so you can connect it again. Connecting it again starts over and reads the last 30 days again.
Remove Ordo's access at Google or Microsoft
You can also remove Ordo's access in your Google or Microsoft account at any time. Ordo then cannot read that mailbox, and Sources asks you to sign in to that account again. What Ordo already keeps from the inbox stays until you use Clear findings or Stop and disconnect, or delete your Ordo account.
- Google: while signed in to the Google account you connected, open myaccount.google.com/connections, select Ordo, and remove its access. If you connected Gmail while Ordo's Gmail access was in Google's testing period, Google lists it as Ordo Private Beta. Google shows the access each app holds. If the entry you remove also holds Google Calendar access, Ordo's calendar connection for that account ends too.
- Microsoft: for a personal account, open account.live.com/consent/Manage. For a work or school account, open myapps.microsoft.com. Select Ordo and remove it.
What Ordo knows
If you allowed Ordo to remember useful context from an inbox, it keeps short facts it works out from what it found, such as the name that goes with an email address. Ordo writes these facts itself, without AI. It skips any fact whose words point to health, money, religion, politics, sexuality, or a password or code. This check matches words, so an unusual wording can get past it.
To see the facts, choose What Ordo knows at the top of Inbox on the web, or tap the brain icon at the top of Inbox on iPhone. Each fact shows the email it came from.
- To correct a fact, choose Correct or confirm, change the text, and save it. The button is Save correction on the web and Save on iPhone.
- To confirm a fact as it is, choose Correct or confirm and save it without changes. A fact you confirm stays until you forget it.
- To remove a fact, choose Forget on the web or Forget this on iPhone.
- Don’t learn this again removes the fact and stops Ordo learning the same fact again.
- When a newer email disagrees with a fact, choose Keep this or Use the newer one.
A fact you have not confirmed is removed 90 days after Ordo learned it, unless later email repeats it.
Turn memory off for an inbox
Memory is a separate choice for each inbox, called Remember useful context. It is off unless you turn it on when you connect the inbox. Sources shows whether it is on for each inbox: under Coverage and permissions on the web, and under Access on the account's page on iPhone.
The apps do not have a switch that turns memory off for an inbox you already connected. To turn it off:
- Outlook: choose Stop and disconnect, connect the inbox again, and turn Remember useful context off when you confirm its folders.
- Gmail: connecting again keeps the choice you made before. Write to support@useordoapp.com and ask us to turn memory off for that inbox.
Clear findings deletes the facts learned only from an inbox, unless you confirmed them. It does not turn memory off.
Delete your Ordo account
Deleting your Ordo account deletes everything Inbox holds at once: your connected accounts, Ordo's access to them, findings, email records, quotations, plans, remembered facts and reading records. It also deletes the rest of your Ordo data, including the tasks and events you approved from Inbox. Ordo asks Google to withdraw its Gmail access. For Outlook, remove Ordo in your Microsoft account as described above. This cannot be undone.
- On the web, choose your name at the top of Ordo to open Settings. Choose Account, then Delete account and data, and confirm with Delete everything.
- On iPhone, open Profile, then Account & security. Choose Delete account and data, and confirm.
- In the original App Store app, open Profile and choose Delete account & data.
Your data is removed from Ordo's live systems at once and clears from encrypted backups within about 30 days. Ordo keeps only a one-way code made from your account ID, so that if a backup is ever restored, your Inbox data can be deleted again.
How long Ordo keeps things
- Quotations of up to 500 characters from an email, kept so you can see why Ordo found something: deleted after 24 hours.
- A finding you dismiss or mark handled, or one a newer email replaces: its content is deleted 30 days later, along with any plan you did not approve. Ordo keeps only a fingerprint, so the same email is not suggested again.
- Findings that still wait for you, and findings you approved: until you clear findings, disconnect the inbox, or delete your account.
- An email deleted from your mailbox: Ordo deletes its quotation and withdraws any plan from it that you have not approved.
- The record of each email Ordo looked at, which holds the message's ID, a one-way fingerprint of its content and the result: until you clear findings, disconnect the inbox, or delete your account.
- A remembered fact you have not confirmed: 90 days after Ordo learned it, unless later email repeats it. A fact you confirmed: until you forget it.
- Your request, when the companion drafts a plan for you: kept with the plan in Inbox for 24 hours.
- Tasks and events you approve: they are ordinary Ordo data, and they stay until you remove them, even after you disconnect the inbox.
- The address of a disconnected account: until you delete your account, so you can connect it again.
